Blood Courier Chain of Custody: From Collection to Proof of Delivery
By Roadrunners Despatch Ltd · Published · Updated
When a blood sample, medical specimen, pharmaceutical item or urgent healthcare consignment needs to move quickly, speed matters. So does knowing exactly where the item is, who is responsible for it and when it reaches its destination.
That is where a clear chain of custody becomes important. In straightforward terms, it is the record of a consignment from handover at collection through to confirmed delivery. For healthcare organisations, that visibility helps teams manage time-critical work with greater confidence and gives them a clear audit trail for the journey.
At Roadrunners Despatch, we provide dedicated same-day transport for urgent healthcare deliveries across the UK mainland. We collect promptly, transport directly and provide clear delivery confirmation so that the people waiting at the other end know the job is complete.
Step 1: Agreeing the collection and delivery requirements
Before collection, the most important details are agreed: the collection and delivery addresses, the contact names, the nature of the consignment, the required delivery time and any handling instructions supplied by the customer.
Different medical consignments have different needs. A laboratory sample, a blood product, a pharmacy item and a piece of medical equipment should not all be treated in the same way. The sending organisation remains responsible for preparing and packaging the consignment in line with its own procedures and the requirements of the receiving laboratory or healthcare provider. Our role is to provide the responsive, direct transport service around those instructions.
For an urgent request, our team will arrange the suitable vehicle and a dedicated driver. We typically collect within 60 minutes of a confirmed booking, often sooner, subject to traffic and availability.
Step 2: Secure handover at collection
At collection, the driver receives the consignment from the nominated contact. The collection is recorded against the job so that there is a clear starting point for the journey.
A clear handover helps prevent uncertainty about whether an item has been collected, when it left the site or who took responsibility for the transport. For particularly time-sensitive work, customers can also tell us about any collection deadline or delivery-by time when they book.
Step 3: Direct, dedicated transport
Unlike a standard parcel-network service, a same-day courier job is not routed through a sequence of depots or mixed into an overnight distribution process. The vehicle is dedicated to the job and travels directly from collection to delivery.
That direct approach reduces unnecessary handling and gives customers a clearer view of the journey. It is particularly useful where delays, repeated handovers or missed delivery windows could create problems for a laboratory, pharmacy, clinic, hospital team or healthcare supplier.
Roadrunners operates 24 hours a day, 7 days a week, including weekends and bank holidays. When urgent medical transport cannot wait for the next scheduled collection, our team is available to help.
Step 4: Online tracking during the journey
Communication is central to a good chain of custody. Customers should not have to chase a courier to find out whether an urgent delivery is still moving.
Roadrunners' online tracking facility gives customers a clear view of their job during the journey. Alongside the online tracking information, we provide job updates and can keep the booking contact informed throughout the delivery. If a customer has a particular instruction, such as calling ahead before arrival or delivering to a named department, this should be included when the job is booked so that the driver has the right information from the outset.
Step 5: Photo and named proof of delivery
The final part of the chain is confirmed delivery. Once the consignment has been handed to the receiving contact, a named proof of delivery and delivery photo are recorded, with confirmation supplied promptly.
For many urgent healthcare jobs, that photo and named proof of delivery are more than a convenience. They allow the sending team to update its own records, confirm that a deadline has been met and focus on the next stage of the patient, laboratory or operational process.
A practical point about packaging and handling
The courier journey is only one part of safe specimen transport. Healthcare organisations and laboratories will have their own instructions about labelling, packaging, temperature control and delivery times. NHS pathology guidance emphasises that specimens should be packaged securely, transported promptly and handled according to the specific instructions for the sample type.
If your consignment has a specific handling requirement, please tell us when you book. We will discuss the transport requirement with you and arrange the most suitable service. We do not make assumptions about clinical suitability or replace the procedures of the sending or receiving organisation.
